MAINTENANCE
Our
maintenance staff provides routine and
emergency maintenance for 518,645 gross
square feet of building space. Space
consists of 170 offices, 47 classrooms and
labs, and 170,000 sq. ft. of residence halls
and auxiliary.

plumbing problems, electrical problems,
heating or air-conditioning concerns, and
repairs to furniture in university
buildings. Most routine maintenance is
provided to academic departments at no
charge. Students living in residence halls
should contact their resident director or
assistants for reporting routine repairs.
Requests for special services are to be made
in writing by using the
online workorder
form or email and must be approved by the
department supervisor. Special services are
considered to be those tasks performed which
are not routine maintenance or repairs to
building structure and its central utility
and mechanical systems. See
Alterations/Construction/Estimates section.
Departments will be charged for
time/materials for special services and,
therefore, departments submitting the
workorder must advise the Physical Plant of
the correct account and title at time of
request. Examples of special services which
will be charged back to departments are as
follows: service to equipment or furnishings
used exclusively by an academic/auxiliary
program, services requested outside the
timeframe of a routine maintenance such as
repainting an office prior to its scheduled
time, and changes in
building/maintenance/electrical systems or
structure to accommodate an academic
function. Cost estimates may be provided but
are considered estimates, not guarantees of
maximum cost. We keep track of our
workorders on Order Manager with
IQCoordinator software. The Physical Plant
transfer funds at the end of each month.

ALTERATIONS/CONSTRUCTION/ESTIMATES
DSU
Physical Plant provides designs, code
compliance, construction and project
management for all campus facilities,
utilizing the most effective combination of
in-house staff and private contractors. Our
staff is accountable to the University, the
State Board of Regents, and the Office of
the State Engineer for construction and
remodeling projects on campus. All projects
from painting to remodeling/construction
must be go through the PP to help ensure
compliance. Cost estimates can be provided
prior to proceeding with a project. Cost
estimates are just that, not guarantees of a
maximum cost. Actual costs are billed. Our
Work Request
is available on-line. Labor rates are
listed are $19.50 per hour. The funding
source must be identified before work can
proceed.

PREVENTIVE
MAINTENANCE
Preventive maintenance involves checking,
cleaning and lubricating building on a
regular basis to avoid failures or major
problems. We keep track of our equipment on
Asset Manager with IQCoordinator software.
Routine preventative maintenance is provided
at no cost to academic buildings. Auxiliary
buildings will be charged time and
materials. Department equipment such as
refrigerators or lab equipment can be added
to our maintenance schedule please contact
us at 256-5227 for cost estimate.
Elevators
are inspected quarterly by outside
contractor. Fire detection systems and
extinguishers are checked and tested yearly.

CUSTODIAL
OPERATIONS
The Physical Plant manages the care of
academic buildings and residence halls.
Custodian and facility workers tasks in
managed areas include cleaning offices,
restrooms, and classrooms daily; removing
trash, vacuuming carpets, buffing floors and
carpet shampooing.
Concerns regarding custodial care should be
channeled through the deans/department
heads. Buildings scheduled for use after
working hours and holidays require a request
for custodial overtime to Pat Keating,
Director of Physical Plant, 256-5223. from
the group needing custodial assistance.

GROUNDS
The
Physical Plant grounds staff provides
overall maintenance to 56.2 acres. Basic
duties entails mowing, trimming, pruning,
planting, fertilizing, seeding, weeding, and
liter control.
The removal of snow and ice from campus
sidewalks and parking is the responsibility
of the Physical Plant. This is done to
provide access to campus and buildings prior
the start of the days normal
operation. Custodians are responsible for
clearing steps and sidewalk from their
immediate buildings to a point where
motorized equipment can make
facilities accessible as soon as possible.

The

USE
OF UNIVERSITY FACILITIES
Faculty, staff and student organizations
utilizing state building for events other
than scheduled classes must make advance
reservation by contacting the office
responsible for the required space. (i.e.
Student Service Center reserves space in the
Trojan Center and Brinker located in Heston
Hall; college offices reserve classroom
space within their respective areas; the
Mundt Foundation area is reserved by calling
the Foundation directly at 256-5211). If an
event is to occur after 5:00 pm on weekdays,
the respective department needs to make
arrangements regarding securing the
building. The building supervisor is
responsible of notifying the Physical Plant
if keys are needed or the night watchman
needs to lock building. If keys are needed
over a weekend, the department is to make
arrangements for picking up the keys. If
keys are to be picked up from the Physical
Plant, keys must be picked up by 4:30 pm
Friday and returned the first working day
following the event. Off-campus groups
may use university facilities by contacting
the Events/Facilities Coordinator at the
Dakota Prairie Playhouse or calling

MOVING
Furniture and equipment will be moved by the
Physical Plant in response to work order
requests approved by the department heads.
Physical Plant personnel will not move
pianos. The department requesting the
move should contact a professional mover.
The
Computing Service staff should be contacted
regarding computer equipment moves or needed
repairs.

CAMPUS SECURITY
Campus
security includes service of a night
watchman locking doors, checking building
and tending boilers. Building checks are
monitored through Morse Watchman Tour-Pro.
All exterior doors are normally locked at
the conclusion of activities for the day and
are kept locked on weekend and holidays.
Faculty and staff are responsible for
locking their own doors. The safety of
students, employees, and visitors is a
matter of highest priority for the
University.
A
night watchman is on duty during evening
hours and can be reached by cellular phone
(480-3348). (If calling from on campus, dial
9-480-3348.) In case of a maintenance
emergency on weekend or holidays, call the

PARCEL DELIVERY
The
Physical Plant is the receiving center for
all large deliveries and large UPS
deliveries. In turn, the appropriate
departments are notified upon receipt of the
shipments. During the academic year,
deliveries are made by a student worker. UPS
deliveries for dorm residents will be made
at the Student Services Center.
