Database Merge for SD Public Universities

A letter from President Dr. Tunheim

Dear Students: 

This October the six South Dakota public universities will be making a big stride forward in providing coordinated student information services statewide.  Individual student databases of the six public universities in South Dakota will be merged into a single database, with each student having a single record within the system.  This will benefit students who have taken or anticipate taking courses from several South Dakota public universities in the future.

For example, following this merge, you will:

  • Receive a consolidated set of transcripts, from any university, reflecting your academic credit from all South Dakota public universities. For coursework taken Fall 2003 and later, you will no longer need to request a transfer of courses from one South Dakota public university to another;
  • Receive a single, consolidated bill representing your liability for enrollments at all South Dakota public universities for a given semester or term.  You will also be able to make a single payment;
  • Have financial aid eligibility determined by your total enrollment in all South Dakota public universities;
  • View all courses taken or transferred (if earned prior to Fall 2003) on your Degree Audit/Program Evaluation on WebAdvisor;
  • Obtain the student services information you need at any of the six South Dakota public universities.

During October, as we perform this merge we ask for your patience.  During a two-to three-week period, beginning approximately mid October, some computer-based student services will be temporarily unavailable.

Services unavailable during the merge process:

  • WebAdvisor (registration changes, unofficial transcripts, class schedule)

  • Processing of financial aid

  • Financial aid payments to students

  • Refund checks

If you anticipate needing any of the unavailable services during the merge time period, we suggest that you request that information prior to the merge.  To ensure adequate time to process your requests, contact the appropriate DSU office by October 8, 2003.

  • On-line degree audit in Dean’s or advisor’s office
  • Spring 2004 class schedule on DSU homepage
     
Financial Aid

  • Current award information and interpretation
  • Loan processing
  • Individual financial issues, concerns or questions resulting from the inability to update data in our interactive student information system

Cashier

  • Student account information
  • Payment processing
  • Current account balance
Student Services

  • Trojan Gold
  • Account balances on meal plans

 We are hopeful the disruption in service that will occur during the merge process will be a minimal inconvenience for you.  Please watch for signs posted in classroom buildings and electronic notification of the final merge schedule and for additional information on the services that will be unavailable during this time.  If you have questions and/or need help accessing student information services during the merge process, please contact the appropriate office listed above.  The offices will be open and staff will be available to assist you.
